What:	Farm to Table(aux) brings together community-minded, philanthropic art & food lovers to enjoy a feast of fresh and seasonal dishes prepared by local chefs and farmers alongside the imaginative productions and performances of local artists and entertainers.

Event Set up
Volunteers needed: 12
9am – 1pm

• Assist in setting up signage on easels, displays on tables, centerpieces, gift bags, programs, and stage props

Greeter
Volunteers needed: 6
5:30pm – 6:30pm

• Welcome our guests to an amazing evening to support the work of Imagine Housing

Registration 
Volunteers needed: 9
5:00pm – 7:00pm

NOTE: registration volunteers must commit to attending a 30 minute training with our Registration Lead prior to event date. Date and time TBD.

• Check each guest in, enter credit card information, and provide name badges and information to guests

Volunteer Check in
Volunteers needed: 3
4:30pm – 7:00pm

• Check in volunteers, direct volunteers to their areas, and fill positions for any no-show volunteer

Promenade Tableaux
Volunteers needed: 8
5:30pm – 8:00pm
(There are many tableaux to entice the senses at this event: Champagne Reception, Frida’s Flower Cart, Strike a Pose, Kid’s Art Auction, Butterfly Station, Paint by Number)

• Greet guests with a taste of sparkling wine, or offer guests a complimentary flower crown, or take photos for guests with their phones, or assist guests with the paint by number activity, or share information about the Kid’s Art Auction, or help guests at the facepaint station
  

Loteria de Vino
Volunteers needed: 8
5:30pm – 8:00 pm

• An outgoing role that will interact with the guests. (3) pairs of volunteers will walk amongst the guests offering a Loteria Card for $35 to match to a bottle of wine on the display

Mystere Raffle
Volunteers needed: 7
5:30pm – 8:00 pm

• Working in pairs, the raffle volunteers will move through the crowd during the Soiree portion of the evening selling raffle tickets

Partner Assist
Volunteers needed: 2
5:30pm – 8:00 pm

• Ensure chef, winery, spirit, and brewery partners have everything they need

Silent Auction Mobile Bid Support
Volunteers needed: 2
5:30pm – 8:00 pm

• Assist guests that need help with online bidding – volunteers will receive training

Prep Check Out
Volunteers needed: 4
8:00pm – 9:30 pm

• Tag all Silent and Art Auction packages with the winning bidder name and number, and group those items at the check out area for easy pick up by those winners.

Dessert Frenzy and Magnum Models
Volunteers needed: 6
8:00pm – 10:00 pm

• Walk the catwalk on stage to model the desserts and magnums of wine up for auction

Stage Manager and Assistant
Volunteers needed: 2
7:30pm – 10:00 pm

• Responsible for helping the auctioneer and emcee ensure everything on stage goes smoothly
• Makes sure speakers are ready for their portions of the program, bring raffle bowl on stage for crawing, and communicate with Hyatt staff regarding dessert frenzy

Powerpoint Director and Backup
Volunteers needed: 2
7:45pm – 10:00 pm

• Responsible for advancing the powerpoint presentation throughout the program
• Must stay in tune with auctioneer and emcee to ensure the correct slide is on display

Lighting Assistant
Volunteers needed: 1
7:45pm – 10:00 pm

• Responsible for changing the lighting during the different portions of the program

Live Auction Recorders
Volunteers needed: 4
7:45pm – 10:00 pm

• (3) volunteers and (1) support person will record bids, complete winning bid sheets, and maintain sales records throughout the evening
• This will include; Live Auction, Raise Your Paddle, Dessert Frenzy, Heads or Tails Game.
• This demanding but exciting role requires concentration, sharp ears and eyes and neat handwriting is a must!

Runners & Spotters
Volunteers needed: (2) Runners & (6) Spotters
7:45pm – 10:00 pm

• Runners: During Live Auction, pick up completed live auction sheets from recorders after each package is sold and bring them to the Check Out Desk in the Pre-function room
• Spotters: Spot the bids and encourage guest participation.  You’ll be on your feet throughout the Live Auction and Raise Your Paddle helping the auctioneer see all corners of the room.

Check Out
Volunteers needed: 4
9:00pm – 11:00 pm

• Check guests out at the end of the evening and ensure they receive any auction packages they may have won
• Receipts will be sent digitally, so most guests will not need to check out.

Break Down
Volunteers needed: 4
10:00pm – 11:00 pm

• Clear any remaining items from the ballroom including programs, partial bottles of wine. Move all unclaimed packages, signage and props to storage room.
• Receipts will be sent digitally, so most guests will not need to check out.

When selecting preferred volunteer roles in the sign up form, please do not select the same role multiple times. You may be assigned multiple roles throughout the course of the event in different shifts.
